Refund Policy

Overview

At RoboKids Academy, we strive to provide excellent robotics education experiences for all our students. We understand that sometimes circumstances change, and you may need to cancel or modify your enrollment. This policy outlines our refund and cancellation terms for different types of programs and situations.

1. Regular Class Programs

Cancellations Before Program Start

  • More than 14 days before start: 100% refund
  • 8-14 days before start: 75% refund
  • 3-7 days before start: 50% refund
  • Less than 3 days before start: No refund (credit toward future programs available)

Cancellations After Program Start

  • Within first 2 classes: Prorated refund for remaining classes minus $50 administrative fee
  • After 2 classes: No refund (make-up classes or program credit may be available)

Medical or Family Emergency

In cases of serious illness, family emergency, or relocation, we may provide exceptions to our standard policy:

  • Documentation may be required (doctor's note, etc.)
  • Prorated refunds or program credits considered case-by-case
  • Administrative fees may still apply

2. Summer Camps and Intensive Programs

Cancellation Timeline

  • More than 30 days before camp: 100% refund
  • 15-30 days before camp: 75% refund
  • 7-14 days before camp: 50% refund
  • Less than 7 days before camp: No refund

Partial Week Cancellations

  • If camp has started, refunds are calculated on a daily basis
  • Minimum $75 administrative fee applies
  • Medical emergencies may be eligible for exceptions

Weather or Facility Closures

  • Full refund or make-up days for RoboKids Academy-caused cancellations
  • Alternative activities or indoor programs offered when possible

3. Birthday Parties and Special Events

Cancellation Policy

  • More than 14 days before event: 100% refund
  • 8-14 days before event: 75% refund
  • 3-7 days before event: 50% refund
  • Less than 3 days before event: 25% refund

Rescheduling

  • Events may be rescheduled up to 7 days before the original date
  • Subject to instructor availability and facility scheduling
  • One free rescheduling per booking

4. Competition Teams and Advanced Programs

Special Considerations

Competition teams and advanced programs require significant commitment and planning:

  • Cancellations may affect the entire team
  • Equipment and registration fees are often non-refundable
  • Partial refunds considered based on timing and circumstances
  • Alternative arrangements may be available

Team Registration Fees

  • Competition registration fees paid to external organizations are non-refundable
  • Team uniform and equipment costs are non-refundable once ordered

5. RoboKids Academy-Initiated Cancellations

Program Cancellations

If RoboKids Academy needs to cancel a program due to:

  • Insufficient enrollment
  • Instructor illness or emergency
  • Facility issues
  • Weather or safety concerns

We will provide:

  • Full refund of all fees paid
  • Alternative program placement when available
  • Priority enrollment in future sessions

Single Class Cancellations

  • Make-up classes scheduled when possible
  • Prorated refund if make-up not possible
  • Online alternatives may be offered

6. Refund Processing

Processing Time

  • Refunds are processed within 5-10 business days of approval
  • Credit card refunds may take additional time to appear on statements
  • Bank transfers may take 3-5 business days

Refund Method

  • Refunds are issued to the original payment method
  • Credit card payments refunded to the original card
  • Cash payments refunded by check
  • Alternative arrangements considered for closed accounts

Administrative Fees

  • $25 fee for cancellations requiring administrative processing
  • $50 fee for cancellations after program start
  • Payment processing fees may be deducted from refunds

7. Program Credits and Transfers

Program Credits

As an alternative to refunds, we may offer program credits that can be used for:

  • Future regular classes
  • Summer camps (with additional payment if needed)
  • Birthday parties or special events
  • Family workshops

Credit Terms

  • Credits expire 12 months from issue date
  • Credits are transferable between family members
  • Credits cannot be exchanged for cash
  • Unused credits may be extended in special circumstances

Program Transfers

  • Students may transfer between age-appropriate programs
  • Subject to availability and instructor approval
  • Price differences may apply
  • One free transfer per enrollment period

8. Behavior-Related Dismissals

Dismissal Policy

Students dismissed for behavioral reasons may be eligible for partial refunds based on:

  • Number of classes attended
  • Severity of behavioral issues
  • Attempts at behavioral intervention
  • Impact on other students

No Refund Situations

No refunds will be provided for dismissals involving:

  • Safety violations or dangerous behavior
  • Harassment or bullying
  • Intentional damage to property
  • Repeated disruption after warnings

9. Special Circumstances

Natural Disasters and Emergencies

  • Full refunds or credits for programs cancelled due to natural disasters
  • Public health emergencies handled case-by-case
  • Alternative online programs may be offered

Travel and Transportation

  • RoboKids Academy is not responsible for travel expenses
  • Weather-related cancellations do not include travel reimbursement
  • Consider travel insurance for out-of-town participants
